Standalone meeting

Following the success of the 2004 meeting our
international pharmaceutical client asked that we provide another highly interactive two-day meeting for a large group of European key opinion leaders (KOLs) prior to the launch of their drug in a number of European countries.

The objectives for the client

The client wanted to support the affiliate markets and create an interactive meeting where each market would have the opportunity to discuss specific country issues in personalised workshops.

The programme of work

Healthcare Education Services provided a complete service including:

  • selection and liaison with a faculty of 13

  • pre-meeting management to refine the programme and objectives

  • delegate management and support (including visa applications)

  • organisation of opinion leader training

  • management of venue, stage set, interactive handsets and audio visual requirements

  • editorial support for presentations and printed materials such as workbooks and invitations

  • design and production of printed materials and opening animations

  • facilitation of the regulatory, medical and legal review of all event materials

  • onsite management

  • production of scientific sessions, including interactive handsets and simultaneous translation into four languages

  • provision of 18 concurrent workshops sessions.

In order to achieve the client objectives, Healthcare Education Services liased directly with the affiliate markets to ensure local issues were accommodated and the workshop sessions were tailored to their specific market requirements.

The deliverables to the client

  • A two-day meeting held in Prague with the plenary session simultaneously translated into French, Spanish, Italian and German.

  • A total of 18 personalised workshops ran
    simultaneously. In a number of cases these were in the local language to facilitate discussion of local market issues.

  • A post-event report was produced and each country was provided with a summary of their delegates responses to the interactive handset questions.

 

The project achievements

  • Over 80% of delegates stated that they would attend such a meeting again.

  • Each market had their own workshop with over 75% of participants rating the session and scientific content as good, very good or excellent.
